Terms & Conditions
Coda Music Trust is a registered charity and is non-profit making. It provides a wide range of services and is reliant upon its customers, clients and users to pay their invoices promptly in order to safeguard Coda’s operations. It is managed by a very small, busy and committed administrative team. It does not hold cash reserves; any requirement to chase unpaid debts does put a strain on the organisation. We would really appreciate all our customers therefore settling their bills swiftly. Do get in touch early if you wish to discuss payment issues.
The following clearly sets out our terms and conditions:
- Classes start promptly. Please arrive in sufficient time to settle whilst not encroaching on other classes taking place. Tutors will aim to start and finish classes on time. Please do not go into lessons of other clients to wait, unless the tutor has specifically indicated to you that this is acceptable both to them and to the previous client. Do feel free to alert tutors however, if your lesson appears to be at risk of starting late. There is a small waiting area and a kitchen where you can purchase refreshments.
- Practice. Please recognise that regular practice between classes is a key part of learning music and an integral part of your time here. We suggest that parents may wish to join the last few minutes of a child's lesson in order to support their practice.
- Smoking. Coda operates a no smoking policy.
- Your property. The Trust does not accept liability for loss or damage to any personal possessions. Please ensure you keep all valuables with you. The Centre is a public place – do please have regard for your property.
- Special needs. Everyone is welcome at Coda regardless of ability. It is a condition of registration that Coda is made aware of any special needs, requirements or medical conditions that may affect your attendance. This includes allergies (such as to nuts).
- Car Parking. Vehicles and their contents are left at Coda at the owner's risk.
- Children. Coda welcomes all its users from our youngest to our oldest! It is a place where all are welcome and feel safe. Coda is not however a play area; there are cars coming in and out of the car park all the time. Please do not allow your children to run in the car park, swing on any of our ramps or railings, play ball games, climb on fences or enter the pond area. Most importantly, please do not allow your children to run around or enter in or behind any of the unused buildings or portacabins. Do also remember that many of our users may have disability or mobility issues – running children can be quite frightening for people who are less mobile. Please do not leave children on the Coda site unsupervised: Coda cannot take responsibility for unsupervised children outside lesson times.
Fees
- Registration fee. If you are joining the Centre for the first time a registration fee of £20 is payable. This will cover all family members.
- Payment. Fees are payable in advance of the first lesson. Any students who arrive for their lessons with fees outstanding may not receive tuition. Any fees or deposits paid are non-refundable unless the Centre cancels a course or lesson, except when notice is given (see 12). Overdue fees will automatically incur a late payment charge of 5% per month.
- Invoices for the forthcoming term are issued automatically unless written notice is received of your wish to discontinue lessons. (Please contact the administrator by the end of the term if you wish to change your lesson time/day for the new term.)
- Cheques should be made payable to Coda Music Trust with name and class details on the back. If paying in cash, do please obtain a receipt. This receipt must be produced should there be any query with regard to cash payments. Coda is also happy to take payment by credit or debit card over the phone.
- Notice. Six weeks notice must be given in writing if for any reason you do not wish to continue with your lessons. If notice is not given in writing, a sum equivalent to six weeks fee is charged.
- Cancellation. In the unlikely event of the tutor having to cancel your lesson an alternative time may be offered. Missed lessons due to tutor cancellation will be credited back to you unless the tutor is able to make an alternative arrangement with you. If for any reason you are unable to attend a lesson please inform the Centre with as much notice as possible. Missed lessons due to student's absence are payable at the normal rate.
Concessions and bursaries
- Bursary scheme. In order to support students who may have difficulty in affording the full cost of lessons or music therapy sessions, Coda Music Trust has set aside funds for a bursary scheme. The bursary fund is subject to funds being available and is always the subject of fundraising and appeals*. Do contact the administrator at Coda, who will give advice on applying for a bursary.
